Program and Office Administrator

Program Responsibilities :

Manage Information and Referral services to survivors of brain injury, their families, and healthcare professionals.  (3 - 5 calls average per day)

  • Provide information via telephone and email.  

  • Maintain accurate resource information.         

  • Compile statistics and prepare reports of I & R calls.

Assist Executive Director with direct-service programs

  • Work with participants, presenters, exhibitors and others involved with the BIA Annual Conference, Camp Wilderness, support groups and other direct-service programs.
  • Manage details of the various programs.
  • Maintain electronic and paper files for each program.

Oversee recreational programs for survivors and their families

  • Help plan and implement monthly recreational activities.
  • Coordinate distribution of donated tickets.
  • Design, produce and distribute event invitations.
  • Manage RSVPs and ensure adequate supplies and supervision for each activity. 

Assist with Educational, Outreach and Advocacy programs

  • Update website, including changing text, uploading pictures and adding resource links.
  • Work with printer and mailhouse on production of newsletters, brochures and other publications.
  • Take pictures or coordinate (donated) photography services at agency programs and events.
  • Maintain files such as photo release forms, pictures with persons and events identified, and samples of BIA printed material.
  • Participate in Brain Injury Awareness Day and other advocacy efforts.
  • Represent BIA-MO at health fairs and other community events.

Other duties as assigned by Executive Director

Office Responsibilities

General office duties

  • Answer organization phone and assist callers.
  • Open and distribute incoming mail.  Prepare outgoing mail.
  • Maintain supplies for all aspects of agency operation.
  • Troubleshoot malfunctions of equipment.

Direct volunteers (4 office volunteers currently)

  • Provide appropriate assignments and supervise for accurate completion.

Manage receipt and payment procedures

  • Prepare deposit of checks and credit card transactions.
  • Prepare bills for payment.
  • Enter donations in database.
  • Produce thank you letters.
  • Maintain electronic and paper files for donations and expenditures.

Maintain mailing lists

  • Update Excel, Word and database files to ensure current, accurate and consistent information.

Assist Executive Director with fundraising programs such as grants, special events, membership program, annual gifts and direct mail.

  • Provide clerical support for fundraising efforts.

Track responses to requests such as auction items received, sponsorship commitments, designated donations, etc.

  • Work at BIA special events.
  • Encourage financial support for BIA programs from volunteers, support group members, brain injury survivors and their families, BIA members, health care professionals and potential supporters.

 

Other duties as assigned by Executive Director

 

Qualifications

  • Bachelor Degree (Marketing, Social Work, Psychology, Communications, Public Policy or similar major).
  • Experience working in office environment.
  • Computer experience needed: MicrosoftWord, including formatting, mail-merging, inserting files and pictures, and working with textboxes.  Excel and database experience also needed. 
  • Helpful computer knowledge: PowerPoint, website software, and QuickBooks or other accounting packages.
  • Volunteer management experience helpful.

organized, detail oriented, self-starter, good problem-solver, able to multi-task, team player, can work independently, and reliable.

 

Salary and Benefits

$30,000 annual salary

 

Two weeks paid vacation.
